Overview

This Privacy Policy explains how Avaylis LLC (“Avaylis,” “we,” “us,” or “our”) handles information when you visit avaylis.com, use the Avaylis operations platform, or use the Avaylis Driver mobile application (collectively, the “Services”). Avaylis provides rental operations tools to businesses. Your use of the Services may also be governed by the policies of the business that created or manages your account.

Information we collect

Account and business information

We may receive your name, email address, telephone number, company name, role, login credentials, and account permissions when an organization creates or manages an Avaylis account.

Rental and field-service information

Businesses using Avaylis may enter customer names, service addresses, contact information, order details, equipment assignments, schedules, notes, documents, payment status, delivery and return activity, and related operational records.

Photos and files

The Avaylis Driver app may access the camera or photo library only when a user chooses to capture or upload a job-site photo or other file. The selected content is attached to the relevant business record.

Device, log, and usage information

We may collect IP address, browser or device type, operating-system information, timestamps, authentication events, error logs, and limited usage information needed to operate, secure, diagnose, and improve the Services.

Location and directions

Avaylis uses job-site addresses supplied by the business to support dispatch and directions. When you choose to open directions, the address may be passed to the mapping application you select, which operates under its own privacy policy. Avaylis does not use the Driver app to continuously track precise background location unless a future feature clearly asks for permission and is disclosed before use.

How we use information

• Provide authentication and the features requested by the account’s business.
• Schedule, dispatch, document, bill, and report on rental operations.
• Protect accounts, prevent misuse, and maintain service reliability.
• Respond to support requests and communicate about the Services.
• Comply with applicable law and enforce our agreements.

How information is shared

Information is available to authorized users of the business account that owns or controls the applicable records. We may also use service providers for hosting, authentication, communications, maps, file storage, payment processing, security, and technical support. These providers may process information only to perform services for us or the applicable business. We may disclose information when required by law, to protect rights or safety, or as part of a merger, financing, acquisition, or sale of assets with appropriate safeguards.

Avaylis does not sell personal information.

Payment information

Payments for physical rental services may be processed by a third-party payment provider. Avaylis may receive transaction identifiers, amounts, status, and limited billing details, but does not intentionally store full payment-card numbers or card security codes in the Avaylis application.

Retention and security

We retain information for as long as reasonably necessary to provide the Services, maintain business and legal records, resolve disputes, and meet contractual or legal obligations. Retention may also be directed by the business controlling the account. We use administrative, technical, and organizational safeguards designed to protect information, but no transmission or storage system can be guaranteed completely secure.

Your choices and requests

If your account is managed by an employer or another business, contact that business first to correct information or request access, export, deactivation, or deletion. You may also contact Avaylis at info@avaylis.com. We may need to verify your identity and the authority of the business controlling the relevant records before completing a request.

Children

The Services are intended for businesses and authorized workers. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this Privacy Policy as the Services change. We will post the revised policy on this page and update the effective date. Material changes may also be communicated through the Services or by email when appropriate.
